Terms and Conditions

1. Definitions
For the purposes of these Terms and Conditions:

"Reservation" refers to any booking made with Aldan Lodge Motel.

"No Show" refers to a reservation where the guest fails to arrive without prior notice.

"Group Booking" is defined as a reservation of three or more rooms unless otherwise agreed in writing.

"Direct Bookings" are reservations made via our official channels.
-
"Agent Bookings" are reservations made via a third-party agent.
2. Booking and Payment Policy
2.1 Credit Card Guarantee

All reservations must be secured with valid credit card details.
-
Guests are responsible for ensuring that the payment details provided are accurate and valid and that sufficient funds are available to cover the total booking amount. Failure to provide valid payment details may result in immediate cancellation of the reservation.

Direct Bookings: Payment is charged on the day of arrival unless otherwise arranged.

Agent Bookings: Payment is charged when the booking becomes non-refundable (typically 2 days before the stay date).
2.2 Credit Card Surcharge

A 2% surcharge applies to all credit card transactions (subject to compliance with New Zealand regulations).
2.3 Payment of Accounts
-
Accounts must be settled on arrival unless prior arrangements have been made.
-
Overdue accounts incur interest at 2.5% per month plus a NZD $50 administration fee, in addition to any applicable debt collection or legal fees.

Invalid Payment Details: If a credit card is declined or issues arise with the provided details, the security of the reservation is automatically rendered null and void. In such cases, we reserve the right to cancel the reservation and re-sell the room(s) without further notice. This is to prevent the loss of revenue due to stale reservations.
2.4 No Show

A ‘no show’ will be charged a minimum of one night’s stay (or 100% of the total booking for non-refundable rates).
3. Cancellation Policy
3.1 Standard Bookings
-
Free Cancellation: Available if cancelled more than 48 hours before 2:00 PM on the day of arrival.

Late Cancellation: Cancellations made within 48 hours of arrival will be charged 100% of the total booking amount.
-
No Show: 100% of the total booking is charged.
3.2 Non-Refundable / Discounted Bookings

Special conditions apply. Please refer to your booking details for any non-refundable terms.
3.3 Group Bookings (Three or More Rooms)
Bookings Made Outside 30 Days:
-
Free cancellation up to 30 days before arrival.
-
Cancellations within 30 days of arrival will be charged for one night’s stay for the entire group.

Full payment is due 14 days before arrival and is non-refundable after this point.

Up to 2 rooms may be cancelled without penalty between 30–14 days before arrival.
Bookings Made Inside 30 Days:

Free cancellation up to 14 days before arrival.
-
Cancellations within 14 days of arrival will be charged for one night’s stay for the entire group.

Up to 2 rooms may be cancelled without penalty during this period.
Bookings Made and Cancelled Within 14 Days:
-
A cancellation fee of 50% of the first night’s stay applies.
-
No Show: 100% of the first night’s stay is charged.
3.4 Amendment Requests

All requests to change dates, room types, or guest numbers must be made via email. If the arrival date is within two weeks, please follow up by phone.

Amendments are subject to availability and may alter the rate.
-
In some cases, the original booking may be cancelled and a new booking created.
-
Amendments are not final until you receive written confirmation from Aldan Lodge Motel.
4. Pet Policy
We understand your pets are like family and are happy to accommodate them under the following conditions:
4.1 Pet Fee

A pet fee applies to bookings made via agents.
-
This fee is waived for direct bookings made through our official channels as a token of appreciation for booking directly with us.
4.2 Pet Supervision & Behaviour
-
Pets must always be on a lead when outside your room and in communal areas.
-
Unsupervised Pets: For the well-being of your pet and the comfort of all guests, pets should not be left unsupervised in guest rooms. Pets left alone may experience separation anxiety, leading to excessive barking or crying. Such disturbances may result in additional charges and/or a request to remove the pet from the premises.
4.3 Clean-Up and Furniture

Guests are responsible for cleaning up after their pets, particularly in shared outdoor spaces.

Pets are not allowed on motel furniture or beds unless you provide suitable covers.
-
Any additional cleaning or damage (e.g., scratching or spraying) will be charged to the guest.
4.4 Number of Pets Per Room

The maximum number of pets allowed per room will be determined at check-in based on room capacity and to ensure the comfort and safety of all guests. We reserve the right to limit the number of pets in any room if necessary.
5. Smoking Policy

All rooms at Aldan Lodge Motel are strictly non-smoking.

A minimum cleaning fee of NZD $250 will be charged if any guest smokes in a room.

Additional costs may apply if the room must be taken out of service for deep cleaning or if there is any loss of revenue.
6. Child Policy

Children under 2 years of age stay free of charge unless a separate bed or cot is required.
7. Liability & Damages

While we take all reasonable care, Aldan Lodge Motel is not responsible for the loss or damage of personal items.

Guests will be charged for any damage, loss, or excessive cleaning required as a result of their stay.
8. Additional Provisions
8.1 Early Check-In / Late Check-Out

Early check-in or late check-out may be available upon request and is subject to availability and potential additional charges. Please contact us directly for details.
8.2 Force Majeure

Aldan Lodge Motel shall not be held liable for any failure to perform its obligations due to events beyond its control, including but not limited to natural disasters, pandemics, or other unforeseen circumstances. In such events, we reserve the right to modify cancellation policies and other conditions accordingly.
8.3 Dispute Resolution & Governing Law

Any disputes arising from these Terms and Conditions shall be governed by and construed in accordance with New Zealand law.

We aim to resolve any issues amicably; however, if a dispute arises, both parties agree to attempt mediation before seeking further legal recourse.
9. Final Notes

All bookings and modifications are subject to availability.

You acknowledge and agree to these Terms and Conditions by confirming your reservation.

We reserve the right to update these Terms and Conditions at any time, with changes becoming effective once posted on our website.
